What Cruzen HR is

Cruzen HR is workforce attendance and payroll software used by an employer (the "Company") to manage its own staff. If you are an employee using the Cruzen HR app, your Company has set up your account — Cruzen HR itself has no relationship with you independent of your employer, and your Company controls your employment data within Cruzen HR.

Information we collect

• Identity & contact details — name, phone number, email, and other profile fields your Company enters or you provide (e.g. address, date of birth, emergency contact) for HR records.
• Face data — when your Company turns on face verification, a photo is taken at enrolment and at each punch in/out. It is processed on our server into a numeric face descriptor used only to confirm it's you; the photo itself is stored so your Company can audit attendance records, exactly like a physical biometric register.
• Location — your device's GPS coordinates at the moment you punch in or out, used to confirm you were at an assigned work location (geofencing), if your Company has that turned on.
• Device information — a device identifier used to recognise your phone across sessions, so a punch can be tied to a device your Company has approved.
• Payroll & bank details — if your Company processes payroll through Cruzen HR: salary structure, bank account and IFSC code (for salary transfer), and statutory identifiers (PAN, UAN, ESI, etc.) required under Indian labour law.
• Usage data — standard server logs (timestamps, IP address, app version) for security and troubleshooting.

How we use it

• To record attendance (punch in/out, hours worked, late/half-day/absent status).
• To verify your identity at punch time (face match) and, if enabled, that you're at an approved location.
• To calculate and process payroll, including any statutory deductions your Company configures.
• To let your Company manage leave, shifts, documents, and other HR records.
• To keep the service secure — detecting fraudulent punches (e.g. spoofed GPS or a mismatched face) and preventing abuse.

We do not use your data for advertising, and we do not sell your data to anyone.

Who can see your data

Your data is visible to authorised administrators at your own Company (the people who manage HR/payroll there) and, for security or support purposes, to Cruzen HR staff maintaining the service. It is never shared with other companies using Cruzen HR, or with third parties, except:

• Service providers who process data on our behalf under contract (e.g. our cloud hosting provider) — they cannot use it for their own purposes.
• When required by law, court order, or to protect the rights and safety of Cruzen HR, your Company, or others.

How long we keep it

Attendance, payroll, and profile data is kept for as long as your Company keeps an account with Cruzen HR, plus any additional period required by Indian labour and tax law (e.g. payroll records). If your Company offboards you, your HR record is retained by the Company for statutory and audit purposes, in line with the same law.

Your choices

• Location and camera access are requested by the app only when needed (at punch time) and can be managed from your phone's system settings.
• Face verification, if your Company has it on, is required to use the punch feature — it cannot be selectively disabled by an individual employee, since it's a company-wide attendance policy.
• To access, correct, or request deletion of your personal data, contact your Company's HR admin, who manages your record — or reach us directly at the email below and we will route it to them.

Security

Data is encrypted in transit (HTTPS). Face images are never matched or scored on your device — matching happens on our servers so the result can't be forged by a modified app. Passwords and PINs are stored as salted hashes, never in plain text.

Children

Cruzen HR is an employee attendance tool and is not directed at, or knowingly used by, anyone under 18.

Changes to this policy

If this policy changes materially, we'll update the date above and, where required, notify your Company.
